At Top Tier Fencing, we believe in making the fence purchasing and installation process as transparent and straightforward as possible. From the initial consultation to the final installation, our methodical approach ensures that you understand every step and feel confident in your investment.

This page provides a detailed overview of our end-to-end process, highlighting how we work closely with you to select, design, and install the perfect fencing solution for your property. Join us as we walk you through each phase, demonstrating our commitment to quality, efficiency, and customer satisfaction.

Whether you are just starting to consider fencing options or are ready to enhance your property's safety and aesthetics, our process is designed to meet your needs with precision and care.

Step 1: Consider Your Fencing Needs

IMPORTANT: Before starting this process. Please make sure to consult with your HOA (if applicable) to check what styles and colors are allowed, as well as where fences are allowed to be placed on your property.

The more information you can provide up front, the faster and more accurately we can get you an estimate.

Before we begin any installation, it’s helpful to think through your fencing goals and preferences. Being clear about these details will allow us to provide a more accurate estimate and make sure we design the right solution for your property.

Here’s what to consider:

Purpose of the Fence:

Understanding the reason behind the fence helps guide all other decisions.

- Are you looking for privacy, security, or aesthetic appeal?

- Do you need to contain pets or children?

- Is this primarily a backyard enclosure, a pool barrier, or a property line marker?

Material Selection:

Each fence type offers different strengths, styles, and maintenance levels.

- Vinyl – maintenance-free, long-lasting

- Wood – natural look, customizable, moderate maintenance

- Aluminum – decorative and durable with minimal upkeep

- Chain link – budget-friendly and functional

- Think about whether you're okay with some maintenance or prefer something maintenance-free

Gate Planning:

Gate decisions are often overlooked but can make a big difference in daily usability.

- How many gates will you need?

- Do you need basic walk-through access or space for riding mowers, trailers, or even vehicles?

- Will any service companies (landscaping, septic, tree removal, etc.) need access?

Fence Layout:

Think about where the fence will be placed and how it should flow with your yard.

- Are you fencing the backyard only, the entire property, or just one section?

- Do you want the fence on the property line, or set back for landscaping or access reasons?

- Do you have a survey or general idea of your lot boundaries?

Recommendation for a Survey: We strongly recommend obtaining a professional survey from a licensed survey company, especially since many municipalities require a certified survey for fence installations. Getting a survey is more cost-effective than the potential expense of moving a fence later due to boundary inaccuracies.

Fence Height:

Height impacts both function and local code compliance.

- Most residential fences range from 4 feet to 6 feet

- Higher fences typically offer more privacy and security

- Be sure to check if your HOA or local ordinance has height restrictions

The Bottom Line - In Order to Provide an Estimate, We’ll Need..

- Preferred material and style

- Desired fence height

- Number of gates

- Gate widths

- Whether this is a new installation or if there is an existing fence to be removed and disposed of

With the above details, we can begin preparing your estimate using satellite measuring tools:

Step 2: Receiving Your Estimate

Once you have provided the initial project details, we move to the next phase—providing you with an initial estimate. This step involves a detailed review of your proposed fence lines to ensure they conform to local zoning regulations and meet all necessary requirements. This step helps ensure we're all on the same page before scheduling an on-site visit.

How We Handle Your Initial Estimate:

We’ll Review Your Project Details
We’ll go over everything you submitted — the material you’re interested in, the layout and location of the fence, your gate needs, and the overall purpose of the fence.

We’ll Discuss Any Clarifying Questions
If anything needs clarification — or if you have questions for us — we’ll reach out by phone or email, depending on your preference.

At this point, we’ll also send over an overhead sketch (if possible) so you can review the layout and confirm everything looks right before we move forward.

We’ll Check for Zoning or Property Limitations
If we’re aware of local zoning restrictions, setback rules, or HOA limitations, we’ll do a preliminary check to make sure there are no obvious issues.

We’ll Provide a Ballpark Estimate
Using satellite tools and the information you’ve provided, we’ll send you a free ballpark estimate.
This is not a formal quote but is typically very close — actual pricing may vary slightly based on site conditions, on site measurements, or changes discussed during the in-person consultation.

Next Steps From Here

If you’re happy with the estimate:
We’ll move forward with scheduling an on-site consultation to confirm exact measurements, walk the job with you, and go over final details. This is where we gather everything needed to prepare your formal quote.

NOTE: If the satellite view isn’t clear or your project is complex:
We may recommend skipping the ballpark estimate and going straight to the on-site consultation to ensure accuracy from the start.

Step 3: On-Site Consultation

The on-site consultation is a pivotal step in our fencing installation process, designed to finalize the details of your project and prepare for the actual installation. This step occurs after you have received your initial estimate and are ready to move forward with Top Tier Fencing as your chosen provider.

Preparing for the On-Site Consultation:

1. Scheduling the Visit: Schedule your on-site consultation a minimum of four weeks before your desired installation date. Keep in mind that our schedule can fill up quickly, so the earlier you can book this appointment, the better it is to ensure your preferred timing.

2. Non-Refundable Deposit: A non-refundable deposit is required to schedule this visit. This deposit covers the time and resources used during the consultation and is not returned if you decide not to proceed with the project for any reason, including site-related issues or personal choice.

Why Do We Charge for On-Site Consultations?

Short answer: it prioritizes our customers time & money— and it ensures you get the attention your project deserves.

At Top Tier Fencing, we charge a small, non-refundable deposit for on-site consultations — and we want to be transparent about why.

This is not an extra fee. If you choose to move forward with your project, the full amount is applied toward your total cost. So, in reality, it's not a fee at all — it’s a commitment.

Here’s why we do it — and how it benefits you:

You Get Our Full Attention — Not a Sales Pitch

Because this appointment is reserved for serious projects, we don’t treat it like a rushed sales presentation. Instead, we take our time to walk the job with you, thoroughly inspect your property, discuss access points, measure carefully, and have a real conversation about your goals and concerns. There’s no pressure — just professional guidance.

You Receive a Detailed, Formal Quote

While many companies offer free “quotes,” they’re often just quick ballpark numbers with little accuracy or thought. After your on-site consultation, we provide a fully measured, personalized proposal that reflects the actual conditions of your property — not just a guess.

It Helps Prioritize Serious Projects

Our schedule fills up fast, and this deposit helps us allocate time and resources to customers who are ready to move forward. It prevents no-shows and speculative appointments that ultimately slow down service for serious buyers.

It Actually Saves You Money

On-site consultations require real investment — fuel, drive time, skilled labor, measurements, and quote preparation all cost time and money. Most companies that offer “free” consults don’t actually absorb those costs — they roll them into their overhead and pass them on to paying customers.

By charging a small deposit, we shift that cost to those who don’t move forward — not the customers who do. This helps us keep our pricing more competitive and fair for everyone who’s serious about getting their fence installed.

It’s a Sign You’re Ready to Move Forward

We provide free ballpark estimates for anyone in the early stages. But the on-site consultation is really designed for people who already feel confident in working with Top Tier Fencing and are ready to take the next step in getting their project started.

In short, this isn’t just a fee — it’s a way to make sure you get the best service, we use our resources wisely, and our pricing stays fair for the customers who trust us with their projects.

3. What happens during the visit:

- Confirmation of Fence Placement: We will walk through your property to confirm the exact placement of your fence, ensuring that everything aligns with your expectations and site conditions.

- Final Measurements and Quote Calculation: Accurate measurements will be taken, and based on these, we will calculate the formal quote for your fencing project.

- Discuss Schedule: We will discuss our current installation timeline to let you know the approximate installation date of your project. Please be aware that due to the nature of fencing and weather, we are only able to provide an approximate start date. We are able to provide an exact start date as be approach your installation.

Before the Visit:

- Property Survey: Ensure that a professional survey has been completed or that your lot lines are known prior to our visit. This is crucial for accurately placing your fence and avoiding any potential disputes or adjustments later on.

- Private Utilities: While we do makes sure that MISS DIG marks all public utilities before digging, they are not able to mark private utilities. This could include, but is not limited to, sprinkler lines, private electric and/or gas lines, irrigation, septic systems, well systems, pool equipment, and more. Please be aware, we are not liable for any damages to unmarked private utilities. Please mention any private utilities during our visit and ensure they are marked before your project start date.

Importance of the On-Site Consultation:

This consultation is our opportunity to make sure we are all on the same page and go over the final details of your fence project. It is also a chance for us to ensure that there are no unforeseen obstacles that could affect the installation.

Step 4: Review Your Quote

This is your chance to go over every detail before locking in your project.

After your on-site consultation, we’ll send you a detailed, formal quote tailored specifically to your property and preferences. This quote will reflect real measurements, access considerations, material costs, and any customizations discussed during the visit.

What Happens Next:

Review the Quote Carefully
Take your time to read through the proposal and make sure everything looks right — from the layout to the materials, height, gate placements, and total cost.

Ask Questions or Request Revisions
If you have any questions, concerns, or changes you'd like to make, now’s the time to bring them up. We’re happy to adjust and clarify as needed to make sure everything aligns with your vision.

Up to Three Formal Quotes Included
We include up to three formal quotes at no additional charge (for example, if you’d like to compare wood vs. vinyl or change the layout). If additional quotes are needed beyond that, a small fee may apply to cover the added time and preparation.

What's next?

Once you're happy with the proposal, the next step is to submit your deposit. This:

- Reserves your spot on our schedule

- Secures your materials

- Locks in your pricing, even if material costs rise later

We accept payment by cash, check, or credit card, and offer discounts for cash/check payments. Financing is also available for qualified customers.

Once the deposit is received, we take it from there and guide you through the rest of the process.

Step 4: Pre-Installation Preparation

Once the on-site consultation is complete and your project details are finalized, we move into the crucial pre-installation phase. This period is dedicated to preparing everything needed to ensure a smooth installation process.

Activities During Pre-Installation:

1. Permit Filing: We will handle all necessary permits to ensure your fence meets all local regulations and standards. This process can vary in length depending on local government timelines.

2. Material Ordering: All materials for your fence are ordered during this time.

3. Utility Marking: We coordinate with Miss Dig (or your local utility marking service) to mark all public utilities on your property. This ensures that the installation process will be safe and free from disruptions caused by utility damages.

Customer Responsibilities:

1. Clear the Installation Area: Use this time to clear any obstacles or debris from the areas where the fence will be installed. This preparation helps avoid delays and ensures a faster installation process.

2. Notify Neighbors: If desired, you can inform your neighbors about the upcoming installation. This courtesy notice can help manage expectations and maintain good relations, especially if the installation process may affect shared property lines. This is especially important when replacing an existing fence where children or pet are involved.

3. HOA Approval: If you haven't already obtained approval from your Homeowners Association during the initial consultation phase, this is your last opportunity to ensure all fence designs and plans meet HOA guidelines.

4. Mark Private Utilities: Any private utilities such as irrigation systems, private electrical lines, gas lines, or any other underground items that were not marked by Miss Dig need to be clearly identified and marked. This is crucial to prevent any damage during the installation.

Final Confirmation:

As we approach your installation date, we will confirm the exact start date. This confirmation will adjust any initial estimates to a precise schedule, allowing you to make any necessary arrangements.

Deposit Policy Reminder:

Please review carefully before submitting your deposit.

In most cases, deposits are non-refundable. This is because your deposit allows us to begin project planning, order materials, and schedule labor — all of which involve time and expenses on our end, regardless of whether the project proceeds. Here’s what you need to know:

- Custom-ordered materials are non-refundable under all circumstances, as they cannot be returned to our suppliers.

- For standard materials that can be returned, refunds are still not guaranteed and are subject, but not limited to:

- Significant restocking fees

- Permit filing fees, if already submitted

- Planning and administrative time already invested in your project

- Other processing Fees

If a refund is considered, any eligible amount would be calculated after these deductions.

For full details, please refer to our Terms and Conditions or reach out with questions before submitting your deposit. We strongly recommend that you only proceed if you're confident and ready to move forward with your project.

Final Preparations:

This phase is your opportunity to finalize all preparations and ensure everything is in place for a seamless installation. Completing these steps helps guarantee that your fencing project will proceed smoothly and without delay.

Step 5: Installation Day

After meticulous planning and preparation, the day to transform your property with a new fence has arrived. Our experienced installation crew is ready to execute the work efficiently and safely, ensuring the final product meets your expectations and our high standards.

Ensuring a Smooth Installation:

Access and Safety: Please ensure that our crew has free and unrestricted access to the installation areas. All paths should be clear, and all gates unlocked. This access is crucial for not only efficiency but also for maintaining a safe work environment.

Contain Pets and Clear the Area: For the safety of your pets and our crew, please keep all pets contained during the installation process. This helps prevent any distractions or safety hazards and ensures that our team can focus on the quality of their work without interruptions. This includes making sure any pet dropping are picked dup before our crew arrives.

Regarding Change Orders on Site: Please note that our installation crew is not authorized to make any change orders. All decisions about design, materials, or changes to the plan should have been finalized during the pre-installation phase. If you have any last-minute changes or concerns, contact our main office directly before the installation date.

Maintain a Safe Distance: For your safety and to fulfill our liability requirements, we ask that you and any household members maintain a safe distance from the work areas. While we welcome oversight and your presence, it is crucial that you avoid getting too close to the ongoing work. This helps prevent distractions that could lead to errors or accidents.

Interaction with Crew: To ensure the highest quality of work and maintain a focus on safety, we kindly ask that interactions with our crew be kept to a necessary minimum. Excessive conversation can lead to distractions and potential mistakes.

Final Steps:

Final Walkthrough and Payment: Once the installation is complete, we will conduct a final walkthrough with you to ensure everything has been done to your satisfaction. This is the time to address any concerns and make sure every detail is perfect. At this point, we will also collect the final balance. It is important that you are available for this final walkthrough to promptly complete the payment and close the project efficiently.

By ensuring these steps are followed, the installation of your new fence should proceed smoothly and without issue. Our goal is to leave you completely satisfied with your investment, with minimal disruption to your daily life and utmost respect for your property.
